Position Summary:
The Project Manager is responsible for overseeing the agency’s day-to-day project operations, managing workflows, and optimizing internal processes to enhance efficiency. Project Managers partner with other teams in the agency to ensure we have found the right balance between client and agency economics. This role involves resource planning, budget management, task assignment, and timeline management, ensuring that the agency’s output aligns with both client expectations and internal goals. The ideal candidate is highly organized, detail-oriented, and has experience in project management within a fast-paced environment.
Responsibilities:
- Partner with Account and extended team to develop SOWs, distribute budget and management of hours, identify resourcing needs and define staffing plans for internal planning and client approval.
- Manage the development and production of deliverables for brand partners across multiple disciplines (Social, Print, Content Production, Experiential Production, Event and Activation)
- Collaborating with strategy and creative leads, define the project workflows, resourcing needs, milestones, and project plans.
- Develop work back schedules based on a project deadline and required checkpoints.
- Take detailed notes in client meetings and turn them into action items in follow-up communication
- Organize internal meetings by establishing an agenda in collaboration with the design, strategy and production teams.
- Manage communication with key stakeholders to ensure they’re on track to meet the agreed-upon milestones (Internal Teams, Vendors, Freelancers, Talent)
- A proven track record of delivering results with multiple partners. Cross-functional communication and collaboration is essential.
- Partner closely with Account and Client Operations teams during the project planning, execution, and production phases. Ensuring client objectives/guidelines are defined, and deliverables and client feedback are shared/incorporated on time.
- Review content and route deliverables to the appropriate core team members for review/sign-off.
- Enforce agency processes and manage all projects' quality assurance (QA) phase.
- Work on and support new business pitches as necessary
- Facilitate and foster creativity throughout the organization
- Keep projects on track through clear task lists, issue tracking, and status reports.
- Assess and report the day-to-day progress of tasks and deliverables using project management tools.
Qualifications:
- Experience as a Project Manager or similar position responsible for defining and managing project scope, timelines, profitability, and effective delivery of digital and physical marketing projects
- Excellent project management skills, including prioritization, scheduling, and documentation
- Ability to build strong relationships and communicate effectively with internal and external groups
- Proficient in GSheets and Keynote to help in the documentation and facilitation of tasks
- High energy, enthusiastic, and able to succeed in a dynamic work environment
- Solid technical understanding and ability to define and refine requirements through a project lifecycle
- Obsessed with the process; willing to develop and apply new processes in support of further driving efficiencies
- Commitment to excellence – anticipating issues, communicating with diplomacy, identifying emerging platforms and processes to drive innovation
- Solutions-oriented approach under pressure and the ability to remedy and navigate stressful situations with ease and grace
